These Terms of Service explain how we run our courses, classes, workshops, and events. They apply to all learners who join Real Language Experience.
By booking with us, you agree to these terms.
1. Who We Teach

Our services are for adults aged 18 and over.

By booking, you confirm that you are at least 18.
2. Booking and Payment

Your place is confirmed once payment has been received.

Some courses or events may require a deposit or pre‑booking fee.

All fees must be paid before the course or event begins unless otherwise stated.

Prices and availability may change before your booking is confirmed.
3. Minimum Numbers

Each class or event requires a minimum number of participants to run.

If numbers fall below the minimum, we may cancel or postpone the session.

If this happens, you will be offered:

an alternative date, or
-
a full refund for the affected session.

4. Substitute Tutors
-
If your usual tutor is unavailable, we may provide a substitute tutor.

A change of tutor does not entitle you to a refund unless the session itself is cancelled.
5. Extreme Weather and Other Disruptions

In cases of extreme weather, transport disruption, tutor illness, venue issues, or other circumstances outside our control, we may:

move the class online,
-
postpone the session, or
-
cancel the session.

If a session is cancelled, we will offer:

an alternative date, or
-
a refund for the cancelled session.

6. Missed Classes (Learner Absence)

We cannot offer refunds if you miss a class for personal reasons.

However, where possible, we may offer you the opportunity to attend an alternative class of an equivalent level during the same term.

This depends on:
-
available space,
-
suitability of level,
-
tutor approval.

This option is offered as a courtesy and cannot be guaranteed.
7. Events and Workshops

Events may be postponed or cancelled for the same reasons as classes (e.g., low numbers, tutor illness, extreme weather).

If this happens, you will be offered:

an alternative date, or
-
a refund.

8. Behaviour and Respectful Conduct

We aim to create a warm, welcoming, adult‑centred learning environment.

We expect all learners to behave respectfully towards tutors and other participants.

We may ask a learner to leave a session if their behaviour disrupts the learning environment or affects the safety or comfort of others.

Refunds are not offered in cases of removal due to misconduct.
9. Health, Safety, and Accessibility

Please let us know in advance if you have any accessibility needs so we can support you where possible.

Learners must not attend in person if they are unwell in a way that could affect others.
-
We may ask someone to leave a session if their presence poses a health or safety risk.
10. Use of Materials, Photography, and Recording

Teaching materials (printed or digital) are for personal use only and must not be shared, copied, or distributed.

Learners must not record audio, video, or take photographs during sessions without written permission.

We may occasionally take photographs at events for promotional use; we will always ask for consent.
11. Data Protection and Privacy

We collect and store your personal data only for the purpose of delivering our services.

We handle all data in line with UK GDPR.

12. Liability

Real Language Experience is not liable for personal belongings lost, damaged, or stolen during classes or events.

We are not responsible for travel costs or other expenses incurred due to cancellations or changes.

Our total liability is limited to the amount you paid for the specific course or event.

We aim to resolve all issues promptly, fairly, and with care.

Room Hire – Terms & Conditions
Real Language Experience
These Terms & Conditions apply to anyone hiring our classroom space to run courses, workshops, meetings, or similar activities. By making a booking, you agree to the terms below.
1. Who Can Hire the Space

The room is available for hire by adults aged 18 and over.

By booking, you confirm that you are at least 18 and legally able to enter into this agreement.
2. Booking and Payment

A booking is confirmed once payment has been received.

We may require a deposit to secure your date; this will be stated at the time of booking.
-
Full payment must be made before the hire period begins unless otherwise agreed in writing.
-
Prices and availability may change before your booking is confirmed.
3. Use of the Space
-
The space may only be used for the purpose agreed at the time of booking (e.g., teaching, workshops, meetings).
-
You are responsible for ensuring that your activity is appropriate for an adult learning environment.
-
You must not sub‑hire the space or allow others to use it without our written permission.
4. Access and Timing
-
You may access the room only during the agreed hire period.
-
Set‑up and pack‑down time must be included within your booking.
-
Additional time may be charged if you overrun.
5. Equipment and Facilities
-
Basic furniture and teaching equipment (as listed on our website or booking form) are included in the hire fee.
-
Any additional equipment must be agreed in advance.
-
You are responsible for leaving the room clean, tidy, and in the condition you found it.
6. Behaviour and Conduct
-
You and your participants must behave respectfully towards staff, other building users, and neighbours.
-
Noise must be kept to a reasonable level.
-
We reserve the right to end a hire session immediately if behaviour is unsafe or disruptive. No refund will be given in such cases.
7. Health, Safety, and Insurance

You are responsible for the safety and supervision of your participants during your hire period.
-
You must follow all Housekeeping instructions provided by us.
-
If your activity requires specialist insurance (e.g., public liability), you must arrange this yourself.
-
You must not exceed the room’s maximum capacity (13 people including the tutor).
8. Damage and Loss
-
You are responsible for any damage caused to the room, furniture, or equipment during your hire.
-
Repair or replacement costs may be charged to you.
-
We are not liable for any personal belongings lost, damaged, or stolen during your hire.
9. Cancellations by You
If you need to cancel your booking, you must give us at least 7 days’ notice to receive a full refund of the hire fee.
-
7 days’ notice or more: full refund.
-
Less than 7 days’ notice: no refund.
No refund is given for non‑attendance or failure to use the booked time.
10. Cancellations or Changes by Us
We may cancel or amend your booking if:

the space becomes unavailable due to maintenance or building issues,
-
extreme weather or other circumstances outside our control affect the safety or operation of the venue.
If we cancel your booking, we will offer:
-
an alternative date, or
-
a full refund of the hire fee.
We are not responsible for any additional costs you may incur (e.g., travel, materials, participant refunds).
11. Cleaning and Waste
-
Please leave the room clean and ready for the next user.
-
Any waste must be disposed of in the bins provided.
-
Additional cleaning charges may apply if the room is left in an unsuitable condition.
12. Food and Drink

Light refreshments are permitted unless otherwise stated.
-
You are responsible for ensuring that food and drink do not damage furniture or equipment.
13. Data Protection

Any personal data you collect from your participants is your responsibility.

We handle your booking information in line with UK GDPR and our Privacy Policy.
14. Liability

Our liability is limited to the hire fee paid.
-
We are not responsible for any loss, injury, or damage arising from your activity, except where required by law.
15. Changes to These Terms
